You will be stationed at the Help Desk with Sue Free.  Members of USA Triathlon are entitled to a $9 cash rebate.  USAT members will be directed to come see you.  They MUST display a current 2003 USAT card.  Upon presentation of such card, you check their name off the list and hand them an envelope with $9.

 

At 7:00 a.m., you depart for Crissy Field where you will help with food set-up (see JOB #

JOB 4 - CHECK-IN    Volunteers 4-8

Duties:

Summary - You smile, welcome the racer, check their name off the list, give them their t-shirt, swim cap, timing chip & goodies then direct them to the body markers & rental truck to load their transition bag.

 

 

Suggested Script / Instructions:

 

1)      Greet / welcome racer.

 

2)  Ask their name and locate on the list.

 

3)  Check off their name.

 

4)      Ask their t-shirt size / have volunteer grab t-shirt.

5)      Locate and give them their timing chip.

6)      Give them their t-shirt and make sure they pick up the race cap / Clif Bar goody package.

7)      Remind them mandatory race briefing at 6:50 a.m.

8)      Direct them to body markers.

9)      Tell them thank you & have a good race!

You stand behind the check-in folks & listen to what size t-shirt the racers ask for - get it & give it to the racer.  You also make sure that there is a supply of the race goody packages (cap, Clif bar & literature pre-rubber banded together) on the tables.

Duties:

You mark the racer's number on her / his left hand with the magic marker AND on the left thigh.    WAY HELPFUL HINT for marking hands:  Ask the racer to make a "tight" fist - it makes it much, much easier to mark the number on their hand as opposed to a loosey goosey limp fist.

JOB 7  - TRUCK / TRANSITION BAGS     Volunteers 18-23

Time: 

Volunteer Meeting:       5:15 a.m. to 5:30 a.m.

Load Bags:                   5:30 a.m. to 6:45 a.m.

 

 

Duties:

Group 1 (Volunteers 18-20) will man a table with plastic garbage bags and magic markers.  Your job is to ask the racer what his or her number is, mark the bag with that number – (YOU will later have to line the bags up in numerical order at the swim finish and swim/run transition so mark the numbers so that they are LARGE, neat & visible after the bags are tied / twisted shut).  This bag is to be filled with the things each racer wants waiting for her/him at the finish.  Stress to the racer that they need to return the bag to you ASAP so you're not loading 400 bags at the last minute.  Also tell the racers that the truck is leaving @ 7:00 with or without their bag so that we can get the transition area set up.

 

NOTE:  Wetsuit racers should NOT need to take a second bag on the boat.  They should board race ready!  If they whine or bitch too much, give them a second bag.  "Naked" swimmers (i.e. those racing in ONLY a swim suit) ARE allowed a second bag since they will be hanging around in sweats, etc until it's time to board the ferry.

 

Group 2 (Volunteers 21-23) will load the CLEARLY MARKED bags in the Ryder Truck.  Since the biggest challenge will be to get them restaged IN ORDER at the transition area, it is critical to load them in some organized manner.  I will mark the floor of the truck off with orange duct tape so you'll have a rough idea of what numbered bags go where.

 

Note:  Bags 1-300 will be for those swimming & running.  Thus, it will be critical to get them staged in some order since they will need to be offloaded FIRST and set up in the transition area FIRST.

 

Bags 401-600 will be for those swimming ONLY.  They get staged on the grass in numerical order AFTER the swim/run bags (1-300 are set up in the transition area).

At 6:45 a.m. we will end registration & begin breaking down the check-in area.   We will need to load tables, chairs, etc into the truck also along with any last minute bags.  At 6:30 a.m., Gary Emich the race director will be going around "urging" people to get their bags marked and loaded because the truck will be leaving at 7:00 a.m. "with or without their bags!"

 

Once the Ryder Truck is fully loaded with race bags & tables/chairs, etc., Volunteers 18-23

depart for Crissy Field.  You will be the ONLY volunteers allowed to park at Crissy Field.  Caravan behind the Ryder Truck & park as directed by Peg Gerard upon arrival.

JOB 8 – FERRY & BOAT BAG DUTIES  Volunteers 14-17

 

Time: 

Standby:                       7:00 a.m. to 7:15 a.m.

Ferry:                           7:15 a.m. to 8:30 a.m.

Transport Bags:            8:30 a.m. to 8:45 a.m.

 

 

 

Duties:

Standby -

During the standby period, you will be hanging out at the entrance to the Blue & Gold Ferry  & helping ensure that the RACERS board first.  Ship personnel will be counting with a clicker how many people get on – BEFORE ANY spectators or volunteers board, I want a count of how many swimmers get on board so I can match that up with how many swimmers get out of the water at the end.  This is a very critical safety aspect.

 

Once all racers are on board & we have a final count, spectators will be allowed to board 0 one of you will collect $10 cash from each spectator coming on board (kids under 12 free).  After we leave the dock, fork the money over to Race Director Gary Emich.

 

Ferry –

Duties are two-fold:  the most important is to station yourselves at either door where the racers will be jumping into the water.  With as much force and voice as is necessary, you need to get the people jumping into the water & swimming away from below the doors as quickly as possible.  We have to get 400 people into the water within the space of a 5-10 minutes.  The people need to move into the door & jump & then swim away quickly.  The doors are no place to lollygag.  Yell if necessary.  

 

On the trip back to the dock, sweep the boat & ensure any swim bags are centralized and put into a couple of larger plastic garbage bags for transport off the Ferry and for transport to the transition area at Crissy Field.  You can enlist the help of spectators to carry bags off the boat and transport them.  There shouldn’t be too many bags since most folks will wear wetsuits and they are not allowed to bring boat bags onto the boat.

 

Transport Bags –

Simple enough, transport all the race bags to Crissy Field & deliver to personnel in the transition area.  HELP transition area personnel stage bags in numerical order (job 8).

 

Then report to George Rehmet, Volunteer Coordinator for additional assignments as necessary!

Upon arrival at Crissy Field, get the tables off the Ryder Truck & set up four as indicated on the map that Peg Gerard will have.  Then begin preparing food (i.e. setting out bagels / cookies, slicing bananas / oranges, etc.)

JOB 11 – TRANSITION BAG SET-UP   Volunteers 18-23

 

Time: 

Set-Up Bags:                7:15 a.m. to 8:30 a.m.

Assist Racers / Guard: 8:30 a.m. to finish

 

Duties:

Apart from check-in, setting the bags up in the transition area is the most important volunteer duty of the race.

 

Immediately upon arrival at Crissy Field and as soon as the food tables etc are removed, it is imperative to get the bags set up in the proper numerical order as shown on the map.  The first group of bags to get set up is the swim / run bags.

 

Women duathletes are numbered 1-149.  Their bags go along the north side of the path along the wall (closest to the Bay).  Start Bag #1 at least 20-25 feet behind the race chute.

 

Men duathletes are numbered 150-299.  Their bags go along the south side of the path (furthest from the Bay & closest to the Palace of Fine Arts.  Start Bay #150 at least 20-25 feet behind the race chute.

 

GET Bags 1-299 set up first since the duathletes need to change into their running gear and GO.  The swimmers will be finished and won’t be in hurried need of their bags.

 

After duathlete bags are positioned, set up women swimmers’ bags (# 400-499) & the men swimmers’ bags (#500-599) on the grass SOUTH of the transition area path.

 

Once racers begin arriving, you will help them locate bags as necessary and monitor bags to ensure they don’t walk off by themselves.

JOB 12 – SWIM FINISH HELP   Volunteers 18-20

 

Time: 

Assist Swimmers:                      8:30 a.m. to 9:15 a.m. (or last swimmer)

 

Duties:

Two volunteers will dress out in wetsuits to assist swimmers as they come ashore.  Any number of swimmers may have trouble standing after being in the cold water so long.  Assist as necessary.

 

The third volunteer will steer all racers to the race chutes – swimmers thru the east chute  and duathletes – those will run – thru the west chute.  DON’T let them dawdle as their times will NOT be taken until they go thru the chutes.

JOB 13 & 14 – AID STATION / RUN COURSE HELP   Volunteers 25-28

 

Time: 

Assist Swimmers:                      7:00 a.m. to 10:15 a.m. (or last runner)

 

Duties:

Volunteers 25 & 26 (JOB 13) are responsible for setting up the aid station immediately west of the Warming Hut Buildings – immediately across from the steps leading up towards the Golden Gate Bridge.  No later than 7:30 a.m., they should have contacted Peg Gerard, transition / race finish area coordinator for:  Table, Water Jug, Paper Cups & Garbage Bags.

 

Set up aid station and as racers come by, make sure they get off the Promenade and get pointed up the steps towards the Golden Gate Bridge and do NOT run on towards Ft. Point.

 

Volunteers 27 & 28 (JOB 14a) will report to Peg Gerard at Crissy Field @ 6:45 a.m. & will be assigned the duty of PREVENTING race spectators from driving into the Crissy Field East Beach Parking lot.  The will stand on Mason Drive at the entrance to EAST BEACH and direct drivers one block further west to Halleck & Mason where there is ample parking.

 

At 8:00 a.m., Volunteers 27 & 28 (JOB 14b) will drive to the Battery East parking lot off Lincoln Avenue (this is immediately west of the road that takes you down to Fort Point).  You task here is to ensure that the space-cadet & frozen-brained runners stay on course.  This is the one part of the run course that is confusing.

 

One volunteer will stand to the west of the brick tunnel (see map) and point runners on towards the Golden Gate Bridge.  The second volunteer will stand about 150 west and make sure that the runners make the “S” turn up & on to the east span of the Golden Gate Bridge and that they do not continue straight which will take them underneath the Bridge. 

 

As the runners return after their jaunt across the Bridge, make sure they turn off the path &  go back thru the brick tunnel.

JOB 15) – FINISHERS’ MEDALS & OTHER GOODIES   Volunteers 6 & 7

 

Time: 

Assist in Food Prep

            OR Bag Set-Up

            As directed:                  7:15 a.m. to 8:15 a.m.

Hand-out Medals:                     8:15 a.m. to 10:15 a.m. (or last runner)

 

Duties:

Your primary duty is to hand out medals, shark pens (& whatever other goodies we have available) as people finish their race. 

 

Those who do the swim will come in thru one chute – stand behind it and give out the goodies as they pass the timer and before they go their race bag. 

 

Once all swimmers have finished and have received their finisher’s medal, move to the run finish line and begin handing out medals to the runners as they come thru the finish line.

 

You will also help out with preparing food and / or setting up race bags in numerical order.  Peg Gerard or George Rehmet will advise as necessary (jobs 6 & 8).
